Issue Supplies to Users or Vehicles

Users with the proper permissions can now log exactly who or what received a supply item during a usage event

This feature allows personnel to log exactly which user or apparatus receives specific items during a supply usage event. By tracking distribution at this granular level, departments can maintain higher accountability and accurately monitor inventory consumption across different roles and vehicles. This update is particularly useful for Supply Administrators and fleet managers who need to audit resource allocation.

Instructions

Before you can track supply distribution, an administrator must enable the appropriate permissions for your user role. Once the capability is active, you can assign items to specific entities during any as-needed supply check by using the "Issue To" field. These transactions are recorded in the system logs, allowing you to filter and generate reports based on the user or apparatus that received the supplies.

Step-by-Step Instructions

Update Permissions

  1. Go to Settings → Supplies → Roles and Capabilities. Select the specific role you wish to update.
  2. Click Edit.
  3. Locate the permission labeled Can issue usages to users and apparatus and ensure the checkbox is selected.
  4. Click Save.

Perform Supplies Check

  1. Select As-Needed Check from the supply menu.
  2. Select the usage type and the desired container, then click Begin Check.
  3. Choose the items being used and click Continue.
  4. Adjust the amount used for each item.
  5. Locate the Issue To dropdown menu below the quantity field.
  6. Select None, User, or Apparatus.
  7. If a user or apparatus is selected, choose the specific name from the secondary dropdown list.
  8. Click Log Items to finalize the entry.

View Logs

  1. Go to Supplies → Logs and Reports → Logs by Item.
  2. Use the radio buttons at the top of the page to filter by Assignment, Item, Issued to User, or Issued to Apparatus.
  3. Select the specific entity you wish to view (e.g., a specific engine).
  4. Define the date range for your search.
  5. Click Search to view the filtered supply logs.
