PSTrax user permissions guide



Summary

Users with Manage Personnel permissions in PSTrax can add, edit, and deactivate users, as well as set permissions across each module. This guide provides an overview of each user setting, including access types, landing pages, alert permissions, and status email options for all modules in the system.


Instructions

To manage users in the system, navigate to Settings → Personnel → User List. From here, administrators can edit each user’s profile, assign permissions, and control access to system modules. Changes apply immediately and help departments control what each user can see and do.


Editing User Accounts

  1. Go to Settings → Personnel → User List.

  2. Click Edit next to the user you wish to update.

  3. General account settings include:

    • Name, password, and email (editable by the user)

    • Cell phone number and carrier (for text notifications)

    • Badge or ID number

    • Shift and home station

    • Default Landing Page:

      • Station Home Screen – View scheduled checks, alerts, and journal posts.

      • Status Report – View fleet-wide status reports at login.

      • Status Report (Table View) – A filterable, sortable layout ideal for desktops.

  4. User Status:

    • Active – The user can log in and perform system tasks.

    • Inactive – Access is disabled. PPE assigned to inactive users is automatically moved to unassigned.


Station Access Settings

  • Specify which stations the user can access. For example, limit access to only the Maintenance Shop for certain staff.


Module Permissions Overview

Each module has customizable user roles and alert/email settings.

Vehicle & Station Module

  • Admin – Can edit checklists, make customizations, manage apparatus.

  • User – Can log events as permitted.

  • Admin Light Options:

    • Close Vehicle/Station Alerts

    • Manage Apparatus (take in/out of service, move between stations, update details)

  • Status Email – Daily summary of overdue checks, new alerts, and journal entries per selected station(s).

PPE Module

  • Admin – Add/edit gear, retire gear, manage schedules and inspections.

  • User – Log inspections (e.g., routine or post-incident).

  • Options:

    • Close PPE Alerts

    • Status Email – Sent on the 15th of the month, listing:

      • Incomplete scheduled inspections

      • Gear set to expire or due for inspection

SCBA Module

  • Admin – Manage gear, checklists, and events.

  • User – Perform inspections as assigned.

  • Options:

    • Close SCBA Alerts

    • Status Email – Sent on the 15th of each month

Assets Module

  • Admin – Full control of assets, customization, and events.

  • User with Access – Can log inspections and set alerts.

  • No Access – No visibility or interaction with the module.

  • Options:

    • Close Asset Alerts

    • Status Email – Monthly alert sent on the 15th

Controlled Substances Module

  • Full Admin – Complete access to settings, containers, sources, and logs.

  • Medic Admin – Can edit logs for accuracy (e.g., correct incident numbers).

  • Medic – Limited access for users who administer narcotics.

  • No Access – Restricted from seeing any controlled substance records.

  • Option: Allow or restrict the ability to Close Controlled Substance Alerts


Additional Permissions

  • Manage Journal – Create or archive categories and posts.

  • Manage Personnel – Add, edit, deactivate users.

  • Emergency Contact Information – Users can complete their own. Admins with Manage Personnel permissions can access a full emergency contact report.

**This setting can be configured for each department. By default, users with Manage Vehicle permissions can activate/deactivate scheduled checks in addition to changing the vehicle status and location.
