Setting up alert recipients

Alert recipients can be set up for each module in PSTrax, allowing you to customize which users receive notifications for the different types of alerts. 


Summary

Alert recipients in PSTrax are users who receive notifications via email or text when an issue is identified during inspections or logged events. Alert configuration is available across all modules—Vehicles, Stations, PPE, SCBA, Assets, and Controlled Substances—and can be customized based on categories, gear types, or containers to ensure the right people are informed when action is needed.


Instructions

Alert categories and recipient lists vary slightly depending on the module. Below is an overview of how to manage alert recipients for each module.


Vehicles & Stations

  1. Navigate to Settings → Vehicles and Stations → Alert Categories and Recipients.

  2. Review the list of custom alert categories (e.g., Vehicle Maintenance, Unusual Incident).

  3. To add or edit recipients for a category:

    • Click the dropdown arrow next to a category.

    • Select Recipients for this Category.

  4. Choose from:

    • Required Recipients – Always notified when an alert is posted in this category.

    • Optional Recipients – Can be selected by the user when setting an alert (ideal for shift captains).

  5. To apply the same recipients across all categories, click the dropdown next to “Add New Category” and choose Select Recipients for All Categories.


PPE, SCBA, and Assets

  1. Navigate to the appropriate module:

    • Settings → PPE → Alert Recipients

    • Settings → SCBA → Alert Recipients

    • Settings → Assets → Alert Recipients

  2. Each gear type will be listed. By default, a General Alert is provided.

  3. To add recipients:

    • Click the dropdown arrow next to a gear type.

    • Select Recipients for this Gear Type, add users, and click Save.

  4. To apply recipients to all gear types at once, click Select Recipients for All [Module] Gear Types.


Controlled Substances

  1. Navigate to Settings → Controlled Substances → Alert Recipients.

  2. Alerts are configured per container (e.g., Medic One Drug Box, Main Vault).

  3. To assign recipients:

    • Click the dropdown arrow next to the container name.

    • Select Recipients for this Container, add users, and click Save.

  4. Each alert recipient can be set as:

    • Required – Always receives the notification.

    • Optional – Can be manually selected by the user when setting an alert.

⚠️ Note: In the Controlled Substances module, only Required Recipients will receive automatic alerts such as:

  • Usage of a controlled substance

  • A box falling below par

  • Supervisor corrections to logged events
