Setting PPE alerts

Notify the appropriate personnel whenever there's an issue, malfunction, or discrepancy with your PPE gear.

Summary

Alerts in the PPE module are designed to notify responsible personnel of gear issues identified during inspections. These alerts can be triggered during routine or as-needed checks, or directly from the gear list. This ensures timely communication and resolution of equipment problems.

Instructions

Alerts are most commonly set during scheduled PPE inspections, but can also be logged from as-needed checks or the gear list. When setting an alert, you can add detailed notes, attachments, set a priority, and define who should be notified. The system automatically carries forward your input across the alert process and sends notifications via email and/or text to designated recipients.

Logging an Alert During a Scheduled Inspection

  1. Perform Routine Inspection
    Begin your PPE inspection and check off each task as you verify equipment condition.

  2. Trigger an Alert
    If you identify an issue (e.g., damaged or missing reflective trim), click the alert icon next to the item.

  3. Add Notes
    The system opens a notes field. Enter details about the discrepancy or malfunction.

  4. Continue Inspection
    Proceed with the rest of the inspection tasks.

  5. Log Inspection
    Once complete, log the event. This redirects you to the alert form.

  6. Complete the Alert Form

    • Review or add additional information about the issue.

    • Upload attachments (e.g., images or documents).

    • Set the priority level to either Routine or Urgent.

    • Confirm or edit the list of alert recipients. These are automatically selected based on assigned responsibilities.

  7. Add Recipients (Optional)
    To notify others, click into the recipient list and search for additional users.

  8. Submit the Alert
    Submitting redirects you back to the PPE home screen. The inspection will no longer be due, and the alert will be visible.

Logging an Alert During an As-Needed Check

  • Click into the as-needed check and follow the same alert-setting process as above.

Logging an Alert from the PPE Gear List

  1. Go to PPE Gear List

  2. Locate the Item
    Find the gear piece you want to flag.

  3. Set Alert
    Click the dropdown next to Details and select Set Alert. Complete the alert form as described.
