Setting PPE alerts

Notify the appropriate personnel whenever there's an issue, malfunction, or discrepancy with your PPE gear.

Summary

Alerts ensure that the appropriate personnel are immediately notified when issues are discovered with equipment. This feature allows users to report damaged, missing, or non-compliant gear during routine inspections or as needed. By centralizing these notifications, PSTrax helps organizations reduce duplicate reporting and ensures that every discrepancy is tracked from discovery to resolution.

Instructions

The most common way to generate an alert is during a scheduled inspection, where you can flag specific tasks and provide detailed notes or attachments regarding the issue. Once the inspection is logged, you will complete an alert form to set the priority level and verify the alert recipient. Alternatively, alerts can be created at any time using an as-needed check or directly from the gear list, providing a flexible way to report issues as they arise.

Step-by-Step Instructions

Logging an Alert During Inspection

  1. Click the alert icon next to a task during a routine inspection.

  2. Enter the details of the discrepancy in the notes field.

  3. Add any relevant comments or attachments directly on this screen.

  4. Finish logging the inspection to navigate to the alert form.

  5. Review the information on the alert form and add any additional details.

  6. Set the priority level to either Routine or Urgent.

  7. Verify the automatically identified alert recipient or manually add additional personnel by searching the system list.

  8. Save the alert to return to the PPE home screen and verify the inspection is complete.

Alternative Alert Methods

  • To report an issue outside of a scheduled inspection, select the as-needed check option from your dashboard.

  • To log an alert from the inventory view, go to the PPE gear list, click the dropdown arrow next to Details, and select Set alert.

Managing Existing Alerts

  1. Look for a red banner when starting an inspection to see if the item already has an open alert.

  2. Click the link in the banner to review existing alert details and avoid creating a duplicate log.
