View Odometer/Hours Report

Quickly see the current miles/kilometers, engine hours, pump hours, and aerial hours for all vehicles in your fleet.

Summary

The Odometer Hours Report in PSTrax allows administrators, mechanics, and officers to view mileage and hour readings across the entire fleet from one central location. This eliminates the need to search vehicle-by-vehicle and ensures data is updated in real time based on daily checks.

Instructions

This report can be accessed by navigating to Vehicle & Station → Logs & Reports → Odometer Hours Report. You can search by individual unit, multiple units, or entire stations, and export the data to Excel, PDF, or a print document.

Viewing the Odometer Hours Report

  1. Navigate to Vehicle & Station → Logs & Reports → Odometer Hours Report.

  2. Use the filters to search by:

    • Station(s)

    • Unit(s)

  3. Hold Control (Windows) or Command (Mac) to multi-select units or stations.

  4. View readings for:

    • Odometer

    • Engine Hours

    • Pump Hours

    • Aerial Hours

  5. Sort or search by any column header.

  6. Use the Export feature to save the report as a printable document, Excel spreadsheet, or PDF.

Setting Up the Report Fields

To ensure mileage and hour values appear correctly in the report, follow these steps:

  1. Go to Actions → Edit Checklists on a vehicle.

  2. Locate the checklist that contains your mileage/hour tasks (e.g., Daily Checks).

  3. Edit the task and set the Log Notes Type to one of the following:

    • Odometer

    • Engine Hours

    • Pump Hours

    • Aerial Hours

  4. Ensure the field is marked Required, so users must input a value before logging.

  5. Save your changes.

Note: The old “mileage/hours” field type has been phased out—use the new specific field types listed above.

Logging and Updating Readings

  1. During daily checks, users will input their odometer and hour values as part of their inspection.

  2. Once logged, the data will automatically update in the Odometer Hours Report and on the Vehicle Details Page.

  3. If a mistake is entered (e.g., typo), go to:

    • Actions → Edit Details on the home screen

    • Adjust the values under Odometer, Engine Hours, Pump Hours, or Aerial Hours

    • Click Save

This report provides a real-time snapshot of your fleet’s mileage and engine hour status, streamlining reporting and fleet tracking across departments.
