      Logging scheduled asset checks

      Log asset inspections when they come due in the schedule.

      Summary

      Assets in PSTrax can be assigned to vehicles, locations, or individual users and scheduled for inspections at any frequency. When an inspection is due, users can verify whether assigned assets are present and operational. If an asset is missing or an unassigned asset is present, the system allows users to log discrepancies and generate alerts for administrators to review.

      Instructions

      To conduct an inspection of assigned assets, start by reviewing the number of asset checks associated with a specific unit, location, or user. Confirm the presence of each assigned asset, carry out the necessary tasks, and document any discrepancies you encounter. In cases where an assigned asset is missing or an unassigned asset is being utilized, make sure to input the correct information and establish alerts as appropriate. Additionally, non-vehicle assets can be inspected via the Assets Card located in the Schedule section.

      Performing an Asset Inspection for a Vehicle

      1. Access the Scheduled Asset Inspection:

        • Navigate to the unit or vehicle being inspected.
        • Click the number of asset checks linked to the unit.
        • Example: Clicking "3 asset checks" on Engine 1 may display inspections for an AED, gas monitor, and radio.

      2. Verify Asset Presence:

        • Check if each assigned asset is present or not present.
        • If present, proceed with the assigned inspection tasks.
        • If not present:
          • Mark it as not present.
          • (Optional) Enter the ID or serial number of a substitute asset being used.

      3. Complete the Assigned Tasks:

        • Verify whether the asset is present and operational.
        • Mark off assigned tasks related to the asset.
        • If there is an issue, set an alert for administrators.
        • Add notes or attachments if necessary.

      4. Log the Inspection:

        • Click Log Selected Items to finalize the inspection.

      Handling Missing or Substitute Assets

      • Missing Assigned Asset:

        • If an asset assigned to a vehicle (e.g., a gas monitor) is not present, an alert is generated for administrators.
        • This ensures that the assignment is corrected or the asset is located.

      • Substituting an Asset:

        • If a different asset is being used (not assigned to the unit), enter its serial number or ID.
        • The system will allow you to log its presence and verify operational status.

      Inspecting Non-Vehicle Assigned Assets

      1. Navigate to the Schedule Section:

        • Click the number of asset items due link on the Assets Card.
        • This will list:
          • Vehicle-assigned assets.
          • User-assigned assets.
          • Location-assigned assets.

      2. Verify and Log the Inspection:

        • Confirm if the asset is present or missing.
        • Complete assigned tasks, notes, and alerts as needed.
        • Click Log Selected Items to save the inspection.
