Logging as-needed asset checks

Log asset inspections whenever you need to.

Summary

As needed events can be logged on assets at any time—whether they’re assigned to vehicles, users, locations, or are unassigned. PSTrax offers several ways to initiate these inspections, ensuring asset conditions can be documented between scheduled checks.


Instructions

You can log an as needed event through the unit checklist, the Assets section on the Schedule page, or directly from the Asset List. These methods allow for flexibility in documenting inspections or issues on any asset in the system.


Logging As Needed Events from a Unit

  1. Locate the assigned unit from the Schedule on the home screen.

  2. Click the As Needed link below the Asset Checks section.

  3. From the checklist, select the asset(s) you wish to inspect.

  4. Choose the event type from the dropdown menu and click Log Selected Assets.

  5. On the next screen:

    • Confirm whether the asset is present or not present.

    • For unassigned gear, enter its serial number or ID under Other IDs Present.

  6. Complete the tasks associated with the inspection.

  7. Set any alerts if needed. Alerts are sent via email or text to designated recipients.

  8. Add optional notes or attachments, then click Log Items.


Logging As Needed Events from the Assets Schedule Card

  1. On the home screen, go to the Assets card in the Schedule section.

  2. Click the As Needed check link.

  3. All assets—whether assigned to a vehicle, user, location, or unassigned—will be listed.

  4. Select the asset(s), complete the inspection, and log the check or set alerts as needed.


Logging Events from the Asset List

  1. Navigate to Assets → Asset List from the navigation panel.

  2. Use the search bar or column filters to locate the item.

  3. Click the dropdown arrow next to Details and select Log Event.

  4. To log multiple items:

    • Check the boxes next to the desired items.

    • Click Batch Log and proceed with logging.
