Assets on-truck check options

There are two different options for scheduling inspections for your vehicle-assigned assets:

  1. You can add "positions" for each asset in the vehicle's Apparatus Schedule and have your crews fill out the serial / ID number for the assets that physically present. 
  2. You can have Assets Admin assign and schedule the assets through the Asset List and have your crews verify if the items is present or not present. For items that are not present, admin can receive an alert email and either reassign the asset or track down what happened to it in the department. 

Basically you can have crew members assign the items for you during the inspection based on what is actually there (option 1), or you can have admin assign the items based on what should be there (option 2). See video below for more details. 

Summary

PSTrax offers two methods for logging asset and truck checks: the Slot-Based Method, which follows a structured input similar to SCBA checks, and the Assignment & Scheduling-Based Method, which automatically pulls assigned assets for verification. Each method has its advantages, with slot-based checks requiring serial number entry and assignment-based checks offering a streamlined, automated approach.

Instructions

To log an asset check, users can either follow the Slot-Based Method, which organizes assets into specific slots for inspection, or the Assignment & Scheduling-Based Method, which pulls assigned assets from the supply list for verification. Each approach has different setup requirements and verification processes. If an item is marked as not present, an alert will be sent to designated personnel for further action.


Method 1: Slot-Based Asset Checks (SCBA Module Piggyback)

This method structures asset checks similarly to SCBA inspections, requiring serial number verification.

  1. Access the Apparatus Schedule:

    • Navigate to the Apparatus Schedule.
    • Locate the designated asset check section at the bottom.
  2. Set Up Asset Slots (Admin Setup Only):

    • Each slot represents an asset to be checked (e.g., four radios, one TIC, three hoses).
    • Link each slot to an event type (e.g., monthly supply check).
    • Assign a gear type and save.
  3. Logging an Asset Check:

    • Select an asset (e.g., thermal imaging camera).
    • The system pre-populates previous entries for convenience.
    • Enter or verify the serial number or ID.
    • Complete the inspection and log the item.
  4. Handling Issues or Missing Items:

    • If an issue is detected, set an alert for administrators.
    • Once logged, the system automatically schedules the next due check.

Pros & Cons of Slot-Based Checks

Pros: Ensures accuracy for assets that require serial number verification.
Cons: Requires manual setup and entry for every individual asset.

 


Method 2: Assignment & Scheduling-Based Checks

This method automatically pulls assigned assets based on their unit assignment and scheduling.

  1. Navigate to the Assets List:

    • Select radios, hoses, or other assigned assets.
    • Filter assets by unit assignment (e.g., Engine 1).
  2. Schedule an Inspection:

    • Choose the event type and date for the scheduled check.
    • Click Log Event to finalize the schedule.
  3. Perform the Asset Check:

    • When the check is due, the system automatically lists all assigned assets.
    • Users verify whether each item is present or missing.
  4. Handling Missing or Additional Items:

    • If an item is not present, the system generates an alert for administrators.
    • Users can manually add an Alternate ID for unlisted items.
  5. Finalizing the Inspection:

    • The system logs checked items and marks any missing items as not present.
    • Administrators receive an alert for follow-up action (e.g., reassigning or locating missing assets).

Pros & Cons of Assignment-Based Checks

Pros: Streamlined process with automated item lists for verification.
Cons: Requires administrators to keep asset assignments up to date.
