Manage vehicles when they move or change status

Log when vehicles go out-of-service, get moved, and more.

 


Summary

When a vehicle’s status changes—such as going out of service, changing locations, or being placed into reserve—you can reflect those changes in PSTrax. This ensures vehicle checklists, locations, and assignments stay accurate and visible to the right users across the department.


Instructions

To update the status of a vehicle, navigate to the Manage Vehicle screen using the Actions dropdown on the Station or Fleet Status page. From there, you can take a variety of actions such as taking the unit out of service, moving it to another station, or deactivating its checklists.


Updating Vehicle Status

  1. Click the Actions dropdown next to the vehicle and select Manage Vehicle.

  2. Choose the desired status:

    • In Service, Out of Service, or Reserve — reflects the physical status of the vehicle.

    • Active or Inactive — reflects whether checklists are running for the vehicle.

  3. If you're taking a vehicle out of service:

    • Select Remove from service.

    • Input a reason (e.g., “Sent for PM”).

    • (Optional) Flag it as a Reserve Unit.

    • Click Deactivate All Checklists to stop daily/weekly/monthly checks.

    • Use the Move Vehicle option to relocate it (e.g., to the Maintenance Shop).

  4. Add a note to document the update if desired.

  5. Click Save Changes.


Returning the Vehicle to Service

  1. From the Fleet Status Report or appropriate station, click Actions → Manage Vehicle on the out-of-service vehicle.

  2. Select Return to Service.

  3. Reactivate any necessary checklists.

  4. Move the vehicle back to its home station.


 

NOTE: The ability to put vehicles in and out of service and to activate and deactivate the schedules can only be done by personnel with Manage Vehicles / Stations set to "Yes" in the user settings. If you'd like these users to put vehicle in and out of service BUT NOT activate/deactivate the schedules, contact us and we'll change that in your department settings.
