Managing PPE events

Set up inspections, testing, and repair events for your PPE gear.

Summary

PPE events are inspections associated with turnout gear and other protective equipment. PSTrax preloads NFPA standard events, such as routine inspections, post-incident inspections, and cleanings, which administrators can modify to fit department needs. Events can be logged as needed or scheduled at regular intervals.

Instructions

To manage PPE events, navigate to Settings → PPE → Events to add, edit, or delete inspections. Users can log inspections manually or set up scheduled events with predefined intervals. Tasks within each event can be customized, requiring notes, attachments, or administrator-only access.

Adding and Managing PPE Events

  1. Navigate to Settings → PPE → Events.

  2. Review the default PPE events loaded into the system, including:

    • Routine Inspection
    • Post-Incident Inspection
    • Cleaning
    • Advanced Inspection
    • Cleaning & Repair
  3. Click Add Event to create a new PPE inspection.

  4. Modify event settings as needed:

    • Add specific tasks for users to check off.
    • Enable a notes field for general documentation.
    • Restrict inspections to admin-only if required.
    • Enable a Check All option for bulk task selection.
    • Allow administrators to backdate, record costs, or add attachments.
  5. Use the dropdown menu next to an event to:

    • Add tasks
    • Copy, edit, or delete the event

Customizing PPE Event Tasks

  1. Click the dropdown arrow next to an event.

  2. Edit tasks by:

    • Changing terminology to match department standards.
    • Adding additional instructions or details.
    • Requiring log notes for documentation.
    • Uploading attachments (e.g., images, reports).
    • Disabling or deleting tasks that do not apply.

Logging PPE Events

  • PPE events can be logged as needed, such as post-incident inspections.
  • To schedule recurring PPE events, use event intervals.

Scheduling PPE Inspections

  1. Go to Settings → PPE → Event Intervals.

  2. Select how often each PPE event should repeat (e.g., monthly, quarterly).

  3. Once intervals are set, navigate to Settings → PPE → Schedule Events to apply them.

  4. To schedule PPE inspections in bulk, go to the Gear List, select multiple items, and choose Batch Schedule.
