View, edit, and add items in your master supplies inventory.

The Manage Items page provides a master list of all supplies and consumables tracked across your organization. This guide covers how to search, sort, edit, add, and assign inventory items within the system.

Instructions

Administrators can access the Manage Items page under Settings > Inventory > Manage Items to view, organize, and update inventory records. Users can search, sort, filter, and export data, as well as add new items, edit existing ones, or assign items to containers. Bulk updates are also possible.

1. Access the Manage Items Page

  • Navigate to Settings > Inventory > Manage Items.
  • Use the search bar or column filters to find specific items.
  • Click column headers to sort items.
  • Drag and drop columns to rearrange them.

2. Customize Your View

  • Click View to hide or display specific fields.
  • Export the list as a print document, Excel spreadsheet, or PDF.

3. Add New Items

  • Click the + button next to the search box.
  • Enter the item name, default min/max levels, and other tracking details:
    • Expiration dates
    • Lot numbers
    • Additional item properties
  • Click Save to finalize the new item.

4. Edit or Delete Items

  • Click the Actions button next to an item to:
    • Assign it to a container.
    • Edit item details.
    • Delete it from the system.

5. Bulk Actions for Multiple Items

  • Select multiple items (e.g., all EMS supplies).
  • Click Batch, then choose:
    • Assign – Assign items to a unit (e.g., Engine 1).
    • Update min/max levels – Set stock levels for the unit.
    • Select containers – Assign items to specific storage locations.
  • Click Save to apply changes.

6. Request Bulk Item Uploads

  • PSTrax offers a service to load new items into the system for you.
  • Email a list of your EMS supplies, station supplies, etc. to help@pstrax.com, and we will build them into your account.
