Managing assets

Track all critical equipment across the entire organization.

Summary

The asset list in PSTrax allows users to track critical equipment such as radios, monitors, hoses, and other high-value assets. Administrators can view asset details, edit assignments, log inspections, set alerts, and manage asset status. The system also enables bulk changes and maintains full asset history, even after retirement.

Instructions

The asset list can be accessed through the Navigation Panel under the asset submenu. Users can search, filter, and sort assets to find specific items. Clicking Details provides a full history of inspections, alerts, and status changes. Administrators can log events, assign assets, and make bulk edits. Retired assets remain accessible for historical reference.

Viewing and Managing the Asset List

  1. Access the asset list through the Navigation Panel under the asset submenu.

  2. Use the search bar or column filters to quickly find specific assets.

  3. Click on column headers to sort information in a specific order, or drag and drop columns to reorder them.

  4. Hide unnecessary fields by clicking the View button and deselecting unwanted fields.

  5. Export the asset list into a print document, Excel spreadsheet, or PDF file for reporting purposes.

Viewing Asset Details and History

  1. Click Details next to an asset to view its full history, including inspections, status changes, and alerts.

  2. In the asset history section, select a date range and click View to see logged activities.

Making Changes to an Asset

  1. Click the dropdown arrow next to Details for an asset.

  2. Select an option to:

    • Log an event.
    • Set an alert.
    • Edit asset details.
    • Assign the asset.
    • Change asset status.

Performing Bulk Actions

  1. Select multiple assets that require changes.

  2. Click Batch to:

    • Log inspections.
    • Schedule events.
    • Assign or change asset status.
    • Edit or retire multiple assets at once.

Managing Retired Assets

  1. Assets that expire or are permanently taken out of service can be retired from the system.

  2. To view retired assets, go to Settings → Assets → Retired Assets.

  3. Retired assets remain in the system with their full inspection history intact, ensuring permanent record-keeping.
