Logging supply checks in batches

When counting a large quantity of supplies, there are benefits to logging in batches.

Summary

When performing a full inventory of supplies, especially for large containers like supply closets, it can be time-consuming to update quantities, lot numbers, and expiration dates for each item. To avoid timeouts and make the process more manageable, we recommend breaking the inventory into smaller batches using the As Needed Supply Check feature. This allows you to count and update select items at a time while ensuring your work is saved and submitted within the two-hour timeout window.


Instructions

Use the As Needed Supply Check option to perform partial inventory counts in smaller, manageable segments. This approach helps prevent session timeouts and keeps your data organized and accurate.


Step-by-Step Instructions

1. Navigate to Supply Checks

  • Go to Perform Supply Checks from the home screen.

2. Select ‘As Needed’ Supply Check

  • Choose the As Needed option for supply checks.

  • Select Inventory Count as the event type.

3. Choose the Container

  • From the dropdown, choose the container you want to count (e.g., Station One Supply Closet).

4. Select a Subset of Items

  • Select items by sub-container (like EMS or Main Compartment) or choose individual items.

  • Instead of selecting all items, choose a smaller batch (e.g., 10–20 items at a time).

5. Update Inventory Information

  • Enter updated quantities, expiration dates, or lot numbers for the selected items.

  • You can also expire or remove items from stock as needed.

6. Log the Count

  • Click Log Items to save the updates for that batch.

  • Repeat the process for the next group of items.

 

The current timeout window is 2 hours. If you wait longer than two hours to log, the system will prevent you from submitting the check.

Auto-save functionality is not yet available, so submitting smaller batches helps avoid data loss.
