Logging admin-only supply events
Log transfers, restocks, and more whenever you need to.
Summary
Inventory events in PSTrax allow users to track stock levels, transfers, usage, and restocks. Administrators can log transfers (moving items between locations) and restocks from vendors (adding purchased items to inventory). These actions ensure accurate tracking of supplies across supply closets, central supply caches, and vendor restocks.
Instructions
To log an inventory event, navigate to Perform Inventory Check and choose an event type. The most commonly used admin-only options are Transfer (moving items between containers) and Restock from Vendor (adding items from an external supplier).
Transferring Items from One Supply Location to Another

Click Perform Inventory Check from the schedule or navigation panel.

Select Transfer from the Check Type dropdown menu.

Choose:
- Source Container (e.g., Central Supply).
- Destination Container (e.g., Station 1 Supply Closet).

Click Begin Check.

Use the search bar or column filters to locate items to transfer.

Identify low stock levels using the Destination Quantity on Hand column:
- Red = Below minimum level.
- Yellow = At minimum level.

Select items by clicking the row or checkbox next to the item name.

Click Continue.

Use plus (+) and minus (-) buttons to update the transfer quantity.
- For advanced items (e.g., N95 masks), select specific lot numbers and expiration dates.
- The system does not allow transferring more items than available in the source.

Click Log Items to complete the transfer.

The system will update quantities in both containers.

If the transfer causes the source container to fall below minimum levels, an alert is generated for restocking.
Restocking Inventory from a Vendor

Click Perform Inventory Check from the schedule or navigation panel.

Select Restock from Vendor from the Check Type dropdown menu.

Choose the container receiving the restock (e.g., Central Supply).

Click Begin Check.

Identify items that need restocking by checking the Quantity on Hand column.

Select items for restocking and click Continue.

Update the quantity added using:
- Plus (+) and minus (-) buttons.
- Manual input (for large restocks).

For advanced items, update:
- Lot number.
- Expiration date.
- Unit quantity.

Click Add Unit if new lot numbers or expiration dates are needed.

Click Log Items to finalize the restock.

The system updates stock levels in the receiving container.
