Automatically display previous task note on Vehicle & Station tasks

You can enable a vehicle or station checklist task to auto-populate with the task notes from the last time it was logged. This is useful in scenarios where you want the next person who logs the check to be able to simply verify the information in the notes and update only when needed (e.g. tire pressures, supply quantities, expiration dates, etc.). Vehicle/Station Admin can set this up by editing a task with notes required and setting "Automatically Display Previous Task Note" to Yes. Here's how:

 


Summary

PSTrax offers a feature that allows previous task notes to automatically populate for tasks requiring log notes. This is especially helpful for items that don’t often change, like tire pressure, expiration dates, or supply counts. The feature reduces redundant data entry, saves time, and allows crews to verify or update only the fields that need to be changed.


Instructions

This feature is configured on a task-by-task basis in the vehicle and station checklists. It only applies to tasks that are set to require log notes. Once enabled, the most recent note will automatically populate in the log field during an inspection. Users can then confirm or adjust the value as needed.


Enabling Previous Task Notes

  1. Go to Settings → Vehicle and Station → Vehicle and Station List.

  2. Locate the unit and click Actions → Edit Checklists.

  3. Scroll to the task (e.g., generator hours) within the appropriate checklist.

  4. Click the Edit button next to the task.

  5. Ensure "Requires Log Notes" is enabled.

  6. Enable "Automatically Display Previous Task Note".

  7. Click Save.


Best Practices

  • Use this feature only for tasks where minimal changes are expected between checks (e.g., expiration dates, supply quantities, tire pressure).

  • Avoid using it for tasks like odometer or engine hours where values will always change.
