Adding PPE gear & gear types

Add new equipment to your PPE inventory.

Summary

Administrators can add new PPE gear to PS Tracks at any time by going to Settings → PPE → Add Gear. You can enter as much information as you have on hand and fill in anything missing later. If you’re adding multiple items, use the Add Multiple button to speed up the process by duplicating previous row data. If a gear type is missing from the dropdown list, it can be added under Settings → PPE → PPE Types. PS Tracks also offers to load new gear for your department—just email us the gear details and we’ll handle the import.

Instructions

New gear can be added by navigating to the Add Gear section under PPE settings. You can enter gear individually or in batches. If gear types are missing from your dropdown options, they can be managed separately under PPE Types. You’re also welcome to email us your gear list, and we’ll import it for you.

Add Single Gear Item

  1. Go to Settings → PPE → Add Gear.

  2. Enter the available information for the new gear item (e.g., serial number, ID number, gear type).

  3. Click Save.

Add Multiple Gear Items

  1. Click the Add Multiple button.

  2. Fill out the first row of information.

  3. For each additional row, update only the unique fields (such as serial number or ID number)—previous row data will be auto-filled.

  4. Click Save once all gear is entered.

Manage Gear Types

  1. Go to Settings → PPE → PPE Types.

  2. Click to edit existing gear types or add new types as needed.

  3. Save your changes.

Manufacturing Date - The date the gear was manufactured. Used to calculate expiration dates.
In-Service / Issue Date - The date the gear was first issued to a crew member.
Expiration Date - The date the gear expires. This will default to 10 years from the Manufacturing Date, but that can be changed or deleted manually as needed. 
Assign To - The drop down lists all active crew members in PSTrax. For gear that is assigned to your inventory / supply closet, select “Unassigned". If a user isn't showing up in the list, add them to PSTrax by going to Settings > Personnel > Add a User (only users with Manage Personnel permissions can do this). 
Add Attachment - Use this to add copies of purchase orders, pictures, warranty information, etc.
